Senior Manager Events

Preferred Education: A Bachelor’s Degree or Master’s Degree (16 years) in Marketing or Mass Communication or Public Administration or International Hospitality Management or Tourism and Hospitality Management or Tourism and Hospitality Management or Hotel Management or Business Administration or Economics or Business Studies or Commerce or Finance or equivalent or a related field from an HEC recognized institution is required.


Preferred: Candidate having related certificates and/or diplomas.


Experience: 


10+ years of experience in Event Management or Event Planning and Operations or Event Administration and Coordination or Event Project Management or Trade Shows or Exhibitions or Event Marketing or Event Sales and Marketing or Event Organization or Event Designing and Execution or academic conferences or convocations or job/career fairs or annual cultural and sports festivals or seminars or students orientation programs or related filed with at least 04 years in Manager/Sr. Manager/GM/AGM/Mid-Senior Level role.


Preferred Experience: 


Experience in Event Management, Event Planning and Operations, Event Administration and Coordination, Event Marketing, Event Sales and Marketing, Event Organizing, or a related field within a public sector entity, organization, or government department will be preferred.


Related volunteering, event management, public events, workshops, conferences, awareness programs and campaigns experience will be preferred.


Strong understanding of the expos and exhibitions sector, including trends, market demands, and client expectations.


Experience in managing large budgets and negotiating contracts with vendors and suppliers.


Proven experience in leading and managing cross functional teams, with a focus on high performance and results.


Demonstrated ability to build strong client relationships and deliver exceptional customer service.


Excellent organizational, negotiation, and problem-solving skills with the ability to work under pressure and meet deadlines.


Outstanding verbal and written communication skills, with the ability to engage and influence stakeholders at all levels.



Key Responsibilities:


Event Planning & Execution:


Organize event management services as per the requirements of the government sector and private sector, ensuring that all events meet client specifications and align with PECPL standards.


Develop Standard Operating Procedures (SOP) for the Event Management Department and implement best practices to streamline event planning, coordination, and execution processes.


Oversee and manage the event ambiance, including lighting, décor, and overall atmosphere, to create an engaging and immersive experience that aligns with the event's theme and objectives.


Coordinate and manage VIP moments during events, ensuring smooth execution, personalized attention, and addressing any special requirements for VIP guests.


Track event activities, maintain a detailed logbook for events, and create a Management Information System (MIS) to report event performance and outcomes.


Prepare bids and quotations for event management services, with a focus on the government sector, ensuring compliance with procurement rules and regulations while providing competitive and accurate offers that align with client and company objectives.


Identify and plan events during vacant dates, ensuring full utilization of available time and resources to maximize event portfolio growth.


Oversee and ensure that safety and security measures are effectively planned and implemented for all events, complying with relevant regulations and ensuring the well-being of all participants.


Collaborate with internal and external stakeholders, including vendors, sponsors, exhibitors, and media, to ensure smooth execution of events.


Oversee and coordinating the management in the design, layout, and setup of exhibition spaces to meet client specifications.


Oversee and lead the existing and upcoming events pipeline, and design workflow plans in accordance with PECPL operational policies.


Plan and lead governmental conferences and upcoming ceremonies, ensuring high-quality event management.


Lead and manage existing private client events, such as trade expos, product exhibitions, and corporate events.


Business Development and Growth:


Lead the strategic development of the event services business, identifying and pursuing new business opportunities, partnerships, and clients to expand the PECPL Market share.


Develop and execute comprehensive sales and marketing strategies to drive PECPL revenue growth, targeting key sectors and potential clients.


Build strong relationships with existing and prospective clients, ensuring high levels of client satisfaction and loyalty, while seeking opportunities for repeat business and upselling.


Conduct market research and competitive analysis to identify emerging trends and untapped opportunities, adapting the PECPLE’s offerings to meet evolving market demands.


Provide leadership in creating innovative event concepts and solutions that appeal to target clients and differentiate the company from competitors.


Develop and manage a business development pipeline, tracking progress and ensuring consistent follow-up with potential clients to convert leads into confirmed contracts.


Social Media Management Policy Designing and Implementation:


Lead and manage social media coordinator to promote events and ensure high levels of attendance and engagement.


Design, implement, and manage the company's social media strategy and policies for events, ensuring effective branding and engagement across various platforms.


Oversee and manage all aspects of event planning and execution. Ensuring events meet client requirements and exceed expectations.


Work closely with cross functional teams to design, implement, and monitor event strategies that align with the company's goals and objectives.


Manage vendor relationships and coordinate all aspects of event execution, from conceptualization to post-event evaluation.


Monitor industry trends and competitor activities to ensure events are innovative, competitive, and successful.


Maintain high-level client relationships and handle escalations and complex queries regarding event execution.


Develop and establish Standard Operating Procedures (SOP) for the Social Media Department, ensuring effective promotion, engagement, and content sharing for events, while tracking and analyzing social media performance to optimize future strategies.


Client Relationship Management:


Serve as the primary point of contact for clients, understanding their goals, and ensuring their expectations are met or exceeded on an event wise basis.


Provide strategic advice to clients on event design, logistics, and execution to maximize their brand presence at the event.

Regularly update clients on event progress, timelines, and any necessary adjustments.

Prepare and deliver PowerPoint presentations to clients, detailing the event plans, strategies, and outcomes to ensure transparency and alignment with client expectations.

Budget & Financial Management:

Prepare, manage, and monitor event budgets, ensuring events are delivered within financial parameters.

Negotiate with vendors and suppliers to optimize costs while maintaining high standards of quality and service.

Team Leadership & Vendor Management:

Lead, mentor, and manage the event management team, including coordinators, designers, and logistics personnel.

Oversee the selection and management of external vendors, such as suppliers, caterers, and contractors, ensuring that all deliverables meet required quality standards and timelines.

Ensure compliance with health and safety regulations at all event sites.

Look after the registration of event vendors, ensuring all necessary documentation and compliance requirements are met before events.

Post-Event Analysis:

Conduct post-event evaluations to gather feedback and measure event success, identifying areas for improvement and innovation for future events.

Prepare detailed post-event reports for clients and senior management, summarizing event performance, financial outcomes, and attendee feedback. 

 


HR & Admin Manager

Preferred HR certifications: SHRM-CP or SHRM-SCP or aPHR or PHR or SPHR or GPHR or CIPD- Level 3, 5, 7or CHRP or CHRE or CHRL or HRIP.

Experience:

08+ years of experience in HR and administration, with at least 03 years in Manager/Sr. Manager/GM/AGM/Mid-Senior Level role.

Preferred Experience: Experience in the Human Resources or Administration domain within a public sector entity, organization or government department will be preferred.

Strong knowledge of labor laws and experience managing recruitment, employee relations, compensation, and compliance.

Excellent communication and leadership skills, with the ability to work in a fast-paced, dynamic environment

Proven experience in leading and managing cross functional teams, with a focus on high performance and results.

Key Responsibilities:

HR Program and Policy Development:

Develop, implement, and oversee HR policies, procedures, and systems to meet the evolving needs of PECL. Ensure compliance with organizational goals and local labor laws.

Employee Lifecycle Management:

Manage recruitment, onboarding, and off boarding of staff, including both full-time employees and temporary workers for events. Ensure that employee records are maintained in compliance with legal requirements.

Employee Relations and Engagement:
Act as the main point of contact for employee relations, resolving disputes and fostering a positive workplace environment. Promote employee engagement through regular communication, feedback mechanisms, and initiatives that align with the expo center’s culture.

Compensation and Rewards Management:
Administer compensation and benefit programs, including salary structuring, performance-based rewards, and employee incentives. Ensure that these programs remain competitive within the market.

Administrative Management:Oversee daily administrative operations ensuring efficiency, cost-effectiveness, and adherence to organizational standards.

Manage procurement processes in line with PPRA guidelines, including vendor management and contract negotiations.

Maintain office infrastructure, facilities, and necessary equipment to support organizational needs.

Oversee the administrative functions of PECL, including facilities management, logistics, and vendor relationships. Ensure that the expo center’s infrastructure and services are well-maintained to support operational needs.

HR Training and Development:

Lead HR-related training and development programs, focusing on event-specific skills and general employee growth. Ensure that employees are equipped to handle the demands of high-volume events and exhibitions.

HR Business Partnership:
Collaborate with senior management to align HR strategies with business goals. Provide consultative support on workforce planning, organizational restructuring, and change management initiatives.

Staffing and Recruitment:
Manage recruitment and staffing efforts to ensure the timely hiring of qualified personnel for both permanent and event-based roles. Partner with staffing agencies as needed to meet fluctuating workforce demands during peak exhibition seasons.

HR Information Systems (HRIS):
Utilize HRIS for payroll, employee data management, and generating reports to inform business decisions. Ensure that the HRIS is fully integrated with PECL’s operational needs.
Compliance and Legal Adherence:Ensure full compliance with Pakistani labor laws and PECL’s internal policies. Stay up-to-date with any legal changes affecting the employment landscape, particularly in the events industry.
Ensure full compliance with labor laws, public sector policies, and regulatory frameworks.
Prepare board notes, management reports, and correspondence with ministries and external stakeholders.
Manage all aspects of personnel insurances and ensure timely renewals and claims.
